Who is responsible for your data?
The data controller is the Consulate General of the Democratic Republic of the Congo in Antwerp, Justitiestraat 6B, 2018 Antwerpen, Belgium. For any question about your data: secretariat@consulatrdc.be.
Our principle
This website is primarily informational. We collect only the minimum amount of data, and only when you write to us or book an appointment. Your data is neither sold nor used for commercial purposes.
Never send a copy of an ID card, a passport or a national number through the contact form or the virtual assistant.
What data, why and for how long?
- Contact form: name, email address and message. Purpose: to answer your request. Legal basis: performance of the Consulate General’s tasks (GDPR, Art. 6(1)(e)). Retention: 12 months after the last exchange.
- Appointment for passport biometric capture: name, email address, pre-registration number, chosen date and time. Purpose: to organise the appointment and send you the confirmation, the reminder and the cancellation link. Legal basis: performance of the Consulate General’s tasks (GDPR, Art. 6(1)(e)). Retention: about 3 months.
- Emails: email address and content of your message when you write to the secretariat. Retention: for as long as needed to handle your request, then in line with the archiving obligations that apply to the Consulate General.
- Virtual assistant: it answers from information prepared in advance. In its current version, it does not keep your messages. Avoid entering personal data.
- Visit statistics: pages viewed, device and browser type, approximate country of origin, the site you came from. These statistics are anonymous: no cookies are used, your IP address is not stored in clear form and no data allows you to be identified. They are recorded on this website’s server and are not shared with any third party. Purpose: to measure traffic and improve the website. Legal basis: performance of the Consulate General’s tasks (GDPR, Art. 6(1)(e)). Retention: 12 months.
- Technical data: IP address and connection logs recorded by the host for the security and proper functioning of the site, for a short period set by the host.
Bot protection
Our forms use Cloudflare Turnstile to block automated submissions. This service analyses technical data (IP address, browser information) to tell a human visitor from a bot. Cloudflare, Inc. is based in the United States: this transfer is covered by the mechanisms provided for by the GDPR.
Cookies
This website uses only technical cookies necessary for its operation. It uses no advertising cookies. Our audience measurement works without cookies: it places nothing on your device (see “Visit statistics” above).
Who has access to your data?
Only authorised staff of the Consulate General have access to it. Our technical providers act on behalf of the Consulate General: Combell (hosting and email) and Cloudflare (bot protection). Your data is not passed on to other third parties, except where required by law.
Official platforms
Procedures carried out on e-NIF and passeport.gouv.cd are managed by the Congolese authorities, under their own rules. This website does not receive the data you enter on those platforms.
Security
The website is protected by an encrypted connection (HTTPS). Access to the administration area is restricted to authorised persons.
Your rights
You may request access to your data, its rectification or erasure, restriction of its processing, or object to it. Write to secretariat@consulatrdc.be. We may ask you to confirm your identity by a secure means. We reply within one month.
If you believe your rights are not being respected, you may lodge a complaint with the Data Protection Authority (Belgium): Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.
